KKSN Suite
CUS — Included from Pro

The 4 p.m. “where’s my order?” call, retired.

A self-serve account portal where your B2B customers answer their own questions — orders, invoices, statements, quotes and returns, at any hour.

Every customer gets a login into their own slice of your ERP: live order status, invoices with PDF download, statements, shipment tracking down to the carton, and returns filed against the original order. It reads the same data your team works from, so the portal is never a day behind — and neither are your customers.

  • Order history with one-click reorder, cancel and save-as-template
  • Invoices, payments, statements, credit memos and AR aging — with PDF download
  • Quick order by SKU, saved lists and reusable order templates
  • Returns submitted line-by-line against the original order and tracked to disposition
  • Buyer sub-accounts with per-user permissions and enforced budget caps

What’s included

Everything a distribution customer phones about, turned into a screen they can open themselves.

Orders without the phone call

The repeat-purchase workflow, compressed to seconds.

  • Full order history. Search and filter every order, drill into lines, totals and the linked invoice — the where-is-it call ends before it is dialed.
  • One-click reorder. Any past order rebuilds itself into the cart, so the monthly restock stops being retyped from a printout.
  • Order templates. A recurring buy is saved once — from scratch or from a real order — and loaded into the cart with usage tracked, killing the emailed spreadsheet order form.
  • Quick order by SKU. Buyers who know their part numbers paste them in and get instant resolution with live availability, instead of paging through a catalog.
  • Saved lists. Personal or shared product lists that add to the cart in one action, so branch teams stop keeping their own parallel part lists.
  • Self-serve cancel. Orders cancel online only while still safely cancellable — draft, pending, approved or on hold — so the warehouse never chases an order already picked.

Money questions, answered on screen

The account’s financial position, without a call to your AR desk.

  • Account dashboard. Open and overdue invoices, credit memo balance, recent payments and credit-limit utilization on one screen — the month-end surprise disappears.
  • Invoices with PDF download. Every invoice listed, filterable by payment status, with lines, payment history and a downloadable PDF — no more “resend invoice” emails.
  • Payments and statements. Receipt history and customer statements on demand, so reconciliation on their side stops generating tickets on yours.
  • Credit memos and aging. Credits visible next to a five-bucket aging breakdown, so disputes start from the same numbers you see.
  • Their price, not the list price. Each login prices from that account’s own tier and negotiated terms, so the quoted price and the portal price never disagree.

Shipments, returns and quotes

The after-the-order lifecycle, self-served.

  • Shipment tracking. Shipments with carrier, tracking, BOL/PRO numbers and carton-level detail — customers watch the truck instead of calling your desk.
  • Returns filed properly. RMAs are submitted against the original order, line by line, which ends the free-text return email that never matches a shipment.
  • Returns tracked to disposition. Quantities returned, received and inspected are visible per line, so “did my credit go through?” answers itself.
  • Quotes and RFQs. Customers request a quote straight from a cart and track its status online — the quote thread leaves the inbox (quotes, bids and offers ride on Enterprise).
  • Address book. Ship-to and bill-to addresses managed by the customer, with defaults, so orders stop arriving with last year’s dock address.

Buyer control for B2B accounts

One customer, many buyers — each on exactly the leash you set.

  • Branch buyer accounts. Sub-users under one customer account, so every branch orders under its own name without sharing a password.
  • Eight per-buyer permissions. Order, quote, see pricing, see stock, request returns, manage addresses and more — each a switch per buyer, so a view-only user really is view-only.
  • Budget caps that enforce themselves. Yearly budget and per-order caps checked against tracked year-to-date spend at checkout — the overspend is stopped at the cart, not discovered on the statement.
  • Credit limit awareness. Checkout knows the account’s open balance and credit limit, so an over-limit order never quietly enters your backlog.
  • Managed by the customer admin. The customer’s own admin creates buyers, sets permissions and resets passwords — user management that never lands on your help desk.
Repeat business

Serial repeat buyers, served in seconds.

Distribution runs on the same order placed again and again. The portal treats that as the main path, not an afterthought: templates built from real orders, SKU-level quick entry, and shared lists that whole buying teams pull from.

  • Templates from real ordersany past order becomes a reusable template in one click, with usage counts showing which ones carry the account.
  • Quick order by SKUpaste part numbers, get availability, add to cart — the fastest path from their spreadsheet to your warehouse.
  • Lists teams shareshared saved lists put the approved parts in front of every buyer, and the whole list adds to cart at once.

Buyer governance

Give every buyer a login — and a leash.

B2B accounts are not one person. The portal models the real structure: a customer admin, branch buyers underneath, and per-buyer permissions and budgets that the checkout actually enforces. You set the rules once; the portal says no for you.

  • Eight permission switches per buyerordering, quoting, pricing visibility, stock visibility, returns, feedback, addresses — granted or withheld per person.
  • Budgets with teethyearly caps and per-order caps checked against live year-to-date spend, at the moment of checkout.
  • Zero help-desk overheadthe customer’s admin runs their own users — creation, permissions, password resets — inside their account.

FAQ

What buyers’ teams ask us

Do my customers see their own negotiated pricing?

Yes. Each login prices from that account’s tier and negotiated terms, so the portal always matches the quote. And pricing visibility is itself a per-buyer permission — a receiving clerk can check an order’s status without ever seeing what the company pays.

Can I let one person browse but not order?

Yes. Ordering, quoting, returns, address management, pricing visibility and stock visibility are separate switches per buyer. A view-only login is genuinely view-only, not an honor system.

What happens when a buyer goes over budget?

The checkout checks the per-order cap and the yearly budget against tracked year-to-date spend before the order is accepted. An over-cap order is stopped at the cart, and the customer admin can see each buyer’s spend against their caps.

Can customers get their own invoices and statements?

Yes — invoices with PDF download, payment history, statements, credit memos and a five-bucket aging view. Most AR-desk calls are really requests for one of those five screens.

How do returns work in the portal?

A return is filed against the original order, line by line, with quantities and reasons — so it always reconciles to something you shipped. The customer then tracks it through received, inspected and final disposition without calling.

Do portal logins count against my ERP user licenses?

No. Customer and buyer logins are customer identities, separate from your ERP seats — and every plan supports unlimited customers. Pricing is per internal user, not per customer.
